Flare Process Review ("Flare Review," "we," "us," or "our") is committed to protecting the privacy of all participants, especially our young creators. As a nonprofit project fiscally sponsored by HCB (Hack Club), we prioritize participant privacy above all else.

Core Principle: Participant data is never shared with sponsors. Period.

Information We Collect

Account Information

  • Email address (via Clerk authentication)
  • Name (optional, provided by you)

Submission Data

  • Video URLs (YouTube/Vimeo links)
  • Process statements and credits
  • Project file links (optional)
  • AI tool disclosures

For Finalists Only

  • Age verification documents (handled securely, deleted after verification)
  • Optional profile information for public recognition

How We Use Your Information

  • To process and evaluate your submission through anonymous judging
  • To communicate competition updates, deadlines, and results
  • To publicly recognize winners and finalists (only with your consent)
  • To verify age eligibility for finalists
  • To improve our competition and platform

What We Never Do

  • Share participant data with sponsors
  • Sell or rent your personal information to third parties
  • Use your data for advertising or marketing outside the competition
  • Retain data longer than necessary for competition purposes
  • Allow sponsors to influence judging in any way

Anonymous Judging

Your identity is protected throughout the judging process:

  • Judges only see anonymized Project IDs, not your name or email
  • Your profile settings and opt-in choices are hidden from judges
  • All submissions are evaluated solely on their merit

Data Security

We implement industry-standard security measures to protect your data:

  • Encrypted data transmission (HTTPS)
  • Secure authentication via Clerk
  • Access controls limiting who can view participant data
  • Regular security reviews and updates

Your Rights

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion of your data (subject to competition requirements)
  • Opt out of public recognition at any time
  • Request removal from our archive

Third-Party Services

We use the following third-party services:

  • Clerk - Authentication and account management
  • Vercel - Website hosting
  • Resend - Email communications

Each service has its own privacy policy. We only share the minimum data necessary for these services to function.

Children's Privacy

Flare Process Review is designed for youth participants under 18. We take extra precautions to protect young creators:

  • We collect only essential information needed for the competition
  • Public recognition requires explicit consent (and parental consent if applicable)
  • Age verification data is handled with extra security and promptly deleted
  • Parents/guardians may contact us regarding their child's data at any time

Data Retention

  • Account data is retained while your account is active
  • Submission data is retained for competition records and archive purposes
  • Age verification documents are deleted within 30 days of verification
  • You may request deletion of your data at any time

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any significant changes via email and update the "Last updated" date above. Continued use of our service after changes constitutes acceptance of the updated policy.
